  • Account Security: You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You agree to immediately notify us of any unauthorized use of your account.
  • Accurate Information: You agree to provide accurate, current, and complete information about yourself and your medical history. You are responsible for updating your information as necessary.
  • Appropriate Use: The Portal is intended for non-emergency communications only. Do not use the Portal for urgent medical matters. For emergencies, call 911 immediately.
  • Communication: Messages sent through the Portal may become part of your permanent medical record. We reserve the right to include Portal communications in your medical file.
  • Response Times: While we strive to respond promptly to Portal messages, we cannot guarantee immediate responses. Standard response time is within 1–2 business days.
  • Termination: We reserve the right to suspend or terminate Portal access at any time, for any reason, including violation of these Terms or the termination of the patient-provider relationship.

4. Appointment Scheduling & Cancellation

Appointments may be requested through our Website, patient portal, or by telephone. All appointments are subject to availability. We reserve the right to reschedule or cancel appointments due to unforeseen circumstances, provider availability, or patient safety concerns.

  • Cancellation Policy: We require at least 24 hours' notice for appointment cancellations or rescheduling. Late cancellations or no-shows may be subject to a missed appointment fee.
  • Late Arrivals: Patients arriving more than 15 minutes late to their scheduled appointment may be asked to reschedule.
  • Insurance Verification: It is your responsibility to verify that Tejas Health Care accepts your insurance plan prior to your appointment. We recommend contacting your insurance provider to confirm coverage and any applicable co-pays or deductibles.

5. Payment & Billing Terms

Tejas Health Care accepts Medicaid, Medicare, and most private health insurance plans. For patients without insurance coverage, we offer a sliding fee scale based on family size and household income. The following billing terms apply:

  • Payment Responsibility: You are responsible for all charges for services provided. Co-payments and deductibles are due at the time of service unless other arrangements have been made in advance.
  • Insurance Claims: As a courtesy, we will submit claims to your insurance provider. However, ultimate responsibility for payment rests with you. If your insurance denies a claim, you may be responsible for the full amount.
  • Sliding Fee Scale: Eligibility for our sliding fee scale requires completion of a financial assessment and submission of income verification documents. Sliding fee determinations are reviewed annually.
  • Outstanding Balances: Accounts with outstanding balances beyond 90 days may be referred to collections. We encourage patients to contact our billing department to discuss payment plan options before their account becomes delinquent.
  • Billing Disputes: If you believe there is an error in your bill, you must notify our billing department in writing within 60 days of the billing date. We will investigate and respond to your dispute within 30 days.

Tejas Health Care may offer the ability to receive appointment reminders, health alerts, and other communications via SMS text messaging. By providing your mobile phone number, you consent to receive SMS messages from Tejas Health Care. A separate SMS Privacy Policy is available on our Website that details how your mobile information is used and protected. You may opt out of SMS communications at any time by replying "STOP" to any message you receive from us. Message and data rates from your mobile carrier may apply.
